The
minutes
1.
Presenters of the final workshop.
Dr. Chartzoulakis mentioned
that he will send Dr. Mehyar a format for an
invitation letter for the IOC presenter and for the invited presenters. It is agreed
that each academic Jordanian partners plus JOPEA will have a presentation in
the workshop, if they have approved by the scientific committee. Furthermore, the
three titles that have no presenters assigned yet could be covered by
well-known Jordanian or foreign invited speakers, if their expenses (ticket,
hotel) are eligible by TEMPUS officer. The partners also agreed that presenters
should submit (within one page) by e-mail to the Tempus officer; the abstract, their
name, affiliation, title of presentation, short (5-6 lines) CV. The deadline
set for such submission is 20th Dec 2016. It is also agreed that all
presenters (partners and invited) should accept to deliver full paper (of about
10 pages) of their presentation before 31st March 2017. The
guidelines for submitting the abstract and the full paper will be sent by Dr. Chartzoulakis
to Dr. Mehyar within a month. Partners asked Dr. Mehyar to propose the
executive and scientific committees for the
final workshop. The partners agreed to publish a
booklet of proceeding, after a revision by the SC. Prof. A. Segura suggested to
ask the journal Grassas e Aceitas if the can host the proceedings of the
workshop as a special volume.
2.
The website of the project and the flyer’s cover page.
Dr. Favati highlights several points
about the website of the project as follows: 1. Google searching for the title of
the project doesn't lead to the official website and he asked about possible
deleting the old website 2. The contact information on the website should have the
e-mail of the project. 3. Most papers uploaded
on the website are not free of charge for accessibly or need clearance from the
editors. 4. The JSSEF have no link to the website of organization. Dr. Mehyar
promised to solve all these problems ASAP.
Regarding the downloaded papers, Dr.
Favati suggested to create links to the full text of open access journals or to
the official website of the journal with the title and abstracts for the not opened
journals. The deadline to perform this task was set next Monday. It is also
suggested to categorize the papers into different aspect (technical, chemical,
analysis, processing, nutritional) for better accessibly.
3.
The budget for the final workshop and the tour.
Partners pointed out to include
costs of both meals and local transportation into the technical visit. Partners
asked Dr. Mehyar to review the rules of Tempus to check eligibility of costs for
tickets, accommodation, hotel and foods for the invited speakers, before
discussing the suggested budget. Approval from the EACEA should be obtained for
the partners’ agreed budget.
4.
The financial report of the partners and the second installation.
Dr. Mehyar mentioned that the list
of documents and the form of co-finance were sent to the partners by e-mail.
Dr. Tsimidou suggested that Dr. Mehyar contact each partners alone for the missed
documents and the other financial issues.

The primary final report prepared by Dr. Al-Saed.
Partners mentioned that proof (documents)
for each of the listed activities should be provided with the report by creating
a hyperlink for each activity. Partners also agreed that Jordanian partners
should help in this task. Dr. Favati mentioned that examples on proof documents
are an advertisement of the event, list of attendees in the workshop and their
signatures, a flyer, or a photo.
Partners asked to have the report in
word format, so each one can share his comments. Partners agreed that the dead
line for sending the revised report to Dr. Mehyar is 20 days from the next day
of the meeting. Dr. Favati mentioned that we should have an explanation for not
setting Masters’ course in olive technology and suggested to match every point in
the project proposal with that of the final report and giving reason for not
performing any task.
6.
The olive oil research survey study to be published
Dr. Mehyar
gave briefing about the survey study. Dr. Favati mentioned that having one extraction
for each lot of olives could not be enough for the study.
7.
Installation and operation of the olive mill and pickling line.
Dr. Mehyar informed partners that the
olive mill has been installed and it is working now but the extraction rate is
still low (about 15 %). Trails are still undergoing to fix this problem. Dr. Mehyar
mentioned that the place of the pickling line is now ready and we are waiting
for the Turkish expert to install this line which is expected to be in the next
week. Dr. Mehyar mentioned that both processing lines will be accepted by an
assigned technical committee and only when they work very well.
8.
Sending the distinguished trainees to Granada/Spain
Dr. Mehyar informed the partners
that rules for sending distinguished trainees to Granada have been set by a specialized
committee. These rules are trainers’ specialty, place of work and the examination
mark. Two of the Tempus workers from the UJ will also join the trainee group to
Granada. Dr. Segura asked about the expected time for trainees to visit Granada
and he mentioned that January is a good time for him according his work plans.
He also asked to introduce him in any e-mails or any updates in this point.
9.
Reschedule the timetable of the work plan as the project extended
Dr. Tsimidou asked Dr. Mehyar to set
a new time schedule for the work plan of the extended project (until 31st
May 2017). This schedule should be accepted by all partners and to be submitted
to the partners’ organizations and to the EACEA.
10.
Other issues raised by the partners.
Dr. Tsimidou
asked if it is possible to make an expense from printing and publishing
category for memory sticks uploaded with developed materials (electronic
library) that are related to olive sector with a logo on them. These sticks are
to be distributed to the Jordanian MSc students. Dr. Mehyar promised that she
will consult about this and get back to Maria ASAP.
11.
Setting an appointment for the next Skype meeting
All partners agreed to have the next
meeting in the 22 Dec (Thursday) 2016 at 9 pm Madrid and Rome time and at 10 pm
Amman and Athens time and agreed that the majority of partners should be
present in the meeting.
